What we collect, why, and how long we keep it.

Who we are

Ninth Echo Studio is a trading name of Ian Stewart, a sole trader registered in England. We are the data controller for the information described here.

That is our trading address for post. The work is produced in Totnes, Devon. For anything about your data, emailhello@ninthecho.studio, which reaches the person who runs the studio rather than a support queue.

The short version

This site sets no cookies, runs no analytics and loads no third-party fonts or trackers. Nothing is collected by you simply reading it. The one exception is the brief form, which is explained below. We do not sell data, we do not share it for anyone else's marketing, and we do not profile anyone.

What we collect, and why

If you buy a pack

Your name, email address and billing address, taken by Stripe at checkout, plus everything you put in the brief: your answers, your product photographs and any brand material you send. We use it to produce and deliver the work and to keep the accounts. The lawful basis is performance of our contract with you, and legal obligation for the tax records.

We never see or store your card details. Those go to Stripe directly.

If you request a free makeover

Your email address, your product photograph and the three answers you send with it. We use them to make the image and send it back. The lawful basis is our legitimate interest in demonstrating the studio's work to someone who has asked for it.

If we contact you first

For business outreach we use business contact details published by the business itself, or the messaging system of the platform you sell on. The lawful basis is legitimate interests, and every message says who we are and how to stop them. Tell us to stop and we will, permanently. We do not send unsolicited email to sole traders or partnerships.

If you join the email list

Your email address, on consent, which you can withdraw from any message.

The brief form

The form on /start is embedded from Tally. Opening that page connects your browser to Tally, who may set their own cookies and will see your IP address. That is the only page on this site that loads anything from a third party. If you would rather not use it, email your brief instead.

Who processes it

• Stripe - payments, checkout and receipts
• Tally - the brief form
• Google Workspace - email, and Drive for storing and delivering your files
• Vercel - hosting for this website

Each one is a processor acting on our instructions. Some are based in the United States, so some data is transferred outside the UK. Those transfers rely on the UK international data transfer addendum to the standard contractual clauses, or the UK extension to the EU-US Data Privacy Framework, depending on the provider.

How long we keep it

• Free makeover submissions - six months after the image is sent, then deleted
• Client project files and briefs - twelve months after final delivery, so we can re-supply a file you have lost, then deleted unless you ask us to keep them
• Email correspondence - two years
• Invoices and financial records - six years, which HMRC requires

Ask us to delete something earlier and we will, unless the law says otherwise.

Published work

Paid client work is only published with permission, asked for at delivery. Declining changes nothing about the price or what you receive. Free makeovers may be published with your brand name, handle and any visible logo removed, unless you tell us not to. That is stated on the free makeover page before you send anything.

Your rights

You can ask for a copy of your data, ask us to correct or delete it, ask us to restrict what we do with it, object to processing based on legitimate interests, or ask for it in a portable format. Emailhello@ninthecho.studio and we will respond within one month.

If you are not satisfied, you can complain to the Information Commissioner's Office atico.org.uk, or on 0303 123 1113. We would rather you told us first.

Changes

If this notice changes materially we will update the date at the top. The current version is always the one on this page.
